<p class=MsoNormal><u>Archivist Opportunity – 6 month contract –
Shell Development (Australia) Pty Ltd<o:p></o:p></u></p>
<p class=MsoNormal><u><o:p><span style='text-decoration:none'> </span></o:p></u></p>
<p class=MsoNormal><span lang=EN-GB>Shell Development (Australia) Pty Ltd
(SDA) is the exploration, production and gas commercialisation part of
Shell’s Australian business, referred to internally as Upstream
International Australia. </span>As a gas growth centre for the Shell Group, SDA
holds large reserves in the North West Shelf, Gorgon, Browse Basin and Timor
Sea fields around Australia. We also maintain a substantial exploration
portfolio in Australia with major representation in permits and reserves
offshore Western Australia and the Northern Territory. This is a business
of very long-term plans and substantial investment. It involves acquiring
and developing new exploration areas, making oil and gas discoveries and
bringing them to market. In Australia, we do this primarily through joint
venture partnerships with other oil and gas businesses.<o:p></o:p></p>
<p class=MsoNormal><o:p> </o:p></p>
<p class=MsoNormal>SDA is seeking an Archivist to undertake a 6 month contract
to assist in the implementation of our Physical Records Project. The ultimate
aim of the project is to ensure local compliance with the Shell Group (Global)
Records Management Standard. The Project is initiated by the Shell Group in
Holland, and rolled out to the various regions for implementation in 2011. The
Archivist role will be pivotal in ensuring the Australian Upstream
implementation is successful. It is anticipated that the role will commence in
April 2011. <o:p></o:p></p>
<p class=MsoNormal><o:p> </o:p></p>
<p class=MsoNormal>The Project has two related aspects to it that need to be
addressed to ensure ultimate compliance and success:<o:p></o:p></p>
<p class=MsoNormal><o:p> </o:p></p>
<p class=MsoNormal><b>SDA Technical Library<o:p></o:p></b></p>
<p class=MsoNormal><b><o:p> </o:p></b></p>
<p class=MsoListParagraph style='text-indent:-18.0pt;mso-list:l0 level1 lfo2'><![if !supportLists]><span
style='font-family:Symbol'><span style='mso-list:Ignore'>·<span
style='font:7.0pt "Times New Roman"'>
</span></span></span><![endif]>Analysis: The metadata contents of the Technical
Library need to be uploaded to the Shell Group archive database based in
Amsterdam. In order to achieve this, substantial analysis needs to be done on
the contents of the Library collection to determine and apply appropriate
Record Types to the material. Retention periods are in turn linked to
these Record Types and thus applied in the online environment. Standard
metadata fields need to be generated for the collection to ensure a smooth bulk
upload to the master repository.<o:p></o:p></p>
<p class=MsoNormal><b><o:p> </o:p></b></p>
<p class=MsoNormal><b>Departmental Filing:<o:p></o:p></b></p>
<p class=MsoNormal><b><o:p> </o:p></b></p>
<p class=MsoListParagraph style='text-indent:-18.0pt;mso-list:l0 level1 lfo2'><![if !supportLists]><span
style='font-family:Symbol'><span style='mso-list:Ignore'>·<span
style='font:7.0pt "Times New Roman"'>
</span></span></span><![endif]>Appraisal: SDA has a number of archive boxes
(approx 400) that have not been formally appraised, described and
sentenced. A core element of the role will involve the Archivist applying the
Shell Group Retention Schedule to these physical records. <o:p></o:p></p>
<p class=MsoListParagraph style='text-indent:-18.0pt;mso-list:l0 level1 lfo2'><![if !supportLists]><span
style='font-family:Symbol'><span style='mso-list:Ignore'>·<span
style='font:7.0pt "Times New Roman"'>
</span></span></span><![endif]>Once complete, the metadata contents of the
entire collection (approx 4000 boxes) need to be uploaded to the Shell Group
archive database based in Amsterdam. The intention is that all disposal actions
will be generated by the master repository in the future, therefore it is
critical that each record has a retention category attached to it. The bulk of
the collection has been described and sentenced (with the exception of the 400
boxes alluded to above), however much of this evidence is located in individual
MS Word box content listings in our EDRMS, and will need to be transferred into
an MS Excel format for the bulk loading activity to the master repository. Additional
metadata fields required by the Shell Group archive database will also need to
be developed and applied to this collection prior to upload.<o:p></o:p></p>
<p class=MsoNormal><o:p> </o:p></p>
<p class=MsoNormal>This is a fairly substantial piece of work, and guidance
will be provided to the Archivist by the internal SDA Records Management Dept.
The Archivist is also required to attend regular teleconferences with the
Global Project Team to report on Australia’s progress as well as receive
advice on any issues being experienced across the project by ourselves or other
Project implementers in the Asia-Pacific region.<o:p></o:p></p>
